Privacy Policy

In short

• We collect only what you enter in the forms, plus a small amount of technical data.
• We use the data only to respond to your request.
• We do not sell data, share it for advertising or send newsletters.
• We keep requests for 12 months. You can ask us to delete them earlier at any time: write to privacy@optimaize.me.

1. Who processes your data

The controller of your personal data is the OptimAIze team (website optimaize.me). For any questions about your data, write to privacy@optimaize.me.

2. What data we receive

What you enter yourself

• Request form: name, company name, company size (optional), email and/or phone or messenger, a short description of the process.
• Calculator: your answers to its questions (number of people, share of time, approximate employee cost, pain points, systems, hiring plans, process description). The answers are calculated in your browser and reach us only if you send a request with the result.

Technical data sent with the request

• Date and time of the request and its internal number.
• Traffic source: tags from the link (for example, that you came from our presentation) or the address of the website you came from.
• IP address: used only for spam protection, stored as an irreversible hash for up to 10 minutes and not saved with the request.

3. Why we do this and on what basis

To contact you, clarify the task, assess the process and prepare an offer. The legal basis is your consent, which you give by ticking the box in the form before sending. A request cannot be sent without consent.

4. Where the data is stored and who sees it

• HostiQ hosting (Ukraine): on the server that runs the website, the request is stored in a file that cannot be accessed from the internet.
• The team's work email (Gmail, Google): a copy of the request arrives as an email.
• The team's work group in Telegram: a notification about the new request.

Only members of the OptimAIze team who work on your request have access to it. The website uses a secure HTTPS connection.

5. How long we keep the data

12 months from the date of the request. After that, the request is automatically deleted from the server, and we delete its copies in the work email and Telegram within the same period. If you ask us to delete the data earlier, we will do so within 30 days.

6. Cookies and analytics

The website does not use tracking cookies and does not load third-party analytics or advertising pixels. Your browser stores only the selected theme (light or dark) and the traffic source for the duration of the visit; this data is not sent anywhere unless you submit a request. Fonts are loaded from our own server.

7. Your rights

Under Article 8 of the Law of Ukraine “On Personal Data Protection”, you can:

• find out what data about you we store and receive a copy of it;
• request correction of inaccurate data;
• request deletion of the data or withdraw your consent to its processing;
• file a complaint with the Ukrainian Parliament Commissioner for Human Rights or a court if you believe your rights have been violated.

For any of these requests, write to privacy@optimaize.me from the address, or mentioning the contact, you left in the form. We will reply within 30 days.

8. Changes to this policy

If we change how we process data, we will update this page and the date at the top. Requests received earlier will be processed under the terms in force when they were sent.
